11 tools that I use daily to get more & better work done

Personally, I don't believe I get so much done, yet I frequently get questions from others about how I fit everything into my day while keeping the quality of my work high.

It seems I can produce more. 

Today, I will share the tools that make it possible so you can use them for your nature venture and double your impact.

Disclaimer #1 Not to feed into unrealistic expectations. I work a lot. I enjoy my work and put in 10 hours daily, often 6 days a week. Tools + time investment is all the "secret" to my amount of output. So please don't compare yourself to me; find your rhythm.

Earth FM

I am hyperactive. So, I get easily distracted. One of the best and easiest hacks to get more work done is to change your environment so that you are as productive as possible. 

For me, that means I work from home, facing a wall and turning on Earth.FM.

Unlike music Earth.FM teleports me into nature landscapes worldwide so that I can pretend to be in the Outback, Serengeti, or Amazon.

Works like a charm for me. 

Grammarly 

I suck at grammar, spelling, and punctuation. So, I use Grammarly to keep writing at high speed but still use proper language.

I am writing this newsletter always first on Grammarly in one go. Afterward, I run through it, and Grammarly does its magic and makes sense out of my chaotic sentences.   

If you suck in this too. Grammarly is a game changer, and it also has a powerful plugin that checks your spelling no matter where you are on the web. 

Rize 

It is a new addition to my magic tools, but wow, what a game-changer it has been. 

I have used it since the start of the year because I didn't trust myself if I was working on the right things. 

Rize is a productivity tool that automatically runs in the background and tracks what you are spending your daily work with. 

Are you scrolling on LinkedIn or actually producing the work you intended? 

It lets you categorize easily, reminds you to take breaks, works automatically & gives you tons of insights into your own work. 

I probably increased my output by another 15-20% after using this + I feel I finally worked on the right stuff. 

Loom

I love & hate writing. 

I love writing lines like this. Freestyle and just my thoughts. 

But I had emails, writing down processes, typing endless messages, etc. 

Loom changed my life because I could finally easily record my screen and show people what I am talking about. 

Perfect to create tutorials for team members, explain things, apply for grants, make customer conversations more personal, etc. 

You just have to click the button, record, and share the link. No hustle & much more human. 

Notion

My favorite tool of all. 

In my old job, I talked so much about Notion that they even called me Mr. Notion. 

Hands down, for me, the best tool that was developed in the past years. It upgraded my work output to new levels because things can get quite hectic and chaotic in my brain.

Notion is my second brain and helps me to keep things organized. 

I can quickly write down the strategy and make it actionable with concrete actions that I or the team needs to tackle. 

My entire company is split into different sections like Marketing, Finance, Sales, Product, and co. 

Making it much easier when newcomers join to get them up to speed ASAP. 

If you work in a team, this will change your life. 

Chat GPT 

Obviously needs to be mentioned here. Chat GPT changed the game, especially the subscription to Chat GPT 4. 

I use it to:

  • summarize documents

  • ideate 

  • improve my hooks

  • come up with outlines

  • find name ideas

  • rewrite text so everyone can understand it

  • write components that don't need a personal twist

  • ping pong ideas 

I think it still struggles with creating a truly human voice, but when you have work that only needs to be summarized or refer to existing knowledge, then I find it extremely helpful. 

There is also this Plugin that lets you summarize content on websites. Very useful for articles.  

Elementor 

I enjoy building websites or improving mine. Yet, I can't code, so I needed to find a way around it. Elementor works within WordPress and allows you to create or improve websites easily.

Work on websites never stops, especially when you are a nature tech start-up. 

So Elementor allows me to quickly change parts & structures of my website without losing my nerves every 3 seconds. 

 

Unsplash

Images are such a crucial part of the brand identity of your nature venture. Yet often, images on social media or websites rarely stand out. 

Often because alternatives are pretty costly to purchase pictures. 

Not with Unsplash. You get high-quality royalty free pictures that you can use in your communication. 

It's the place where 90% of my pictures are coming from. 

Easy navigation and easy to download. 

Never look for pictures again. 

Midjourney

But sometimes it is hard to find exactly the pictures you want or need. I am not a digital designer, so Midjourney is extremely handy to create unique pictures that exactly reflect what you want to create. 

(I mean almost; you still need to know one or 2 things about prompting)

But in general, it is 

A great tool to create logos, visual identities, social media material, etc. 

Zapier

Similar to Rize very new to the party. This tool intimidated me for a long time. But I slowly get the hang of it and realize why so many people love it. 

Zapier lets you automate boring tasks like adding people to an Excel sheet, copying stuff from A to B, collaborating between different tools, etc. 

I used it extensively last week to launch our Eco-Anxiety quiz for Wildya, and I now understand the power it holds. Will work much more with it in the future. 

Canva

The last hero of mine that makes everything in my day easier while keeping high quality is Canva. 

Canva is a universal design tool that makes designing incredibly easy. 

Need social media content? -> Canva

Need a video? -> Canva

Need an infographic? -> Canva

Need an impact report? -> Canva

You see where I am going here. 

Within minutes, you can create visually pleasing content without learning about it for years. 

Now it is your turn! 

5 actions you can do to increase your output & quality of your work

  1. Check & change your environment: Before taking the difficult route and changing yourself, have a look at your daily work environment. How can you improve it so that you can flourish in it? Noise cancelation headphones? Remove the couch? Get a couch? Remove smartphone, etc. 

  2. Be logical: For some of these or other tools, you need to pay. But all have a free testing period. So try them. And if they can help you to produce 3% more or better work, isn't that worth the 10€ per month? 

  3. Keep track: Those tools can become addicting, so keep an eye on your finances. Create a simple Excel to keep track of how much you are spending. Check monthly which of those tools you are truly using regularly and kick those out that you don't need any more. 

  4. Reflect on your obstacle: While reading this article, you probably thought to yourself, "Uh, true, I should work on my ... , it will help me to get more done". So follow that gut. Tackle the biggest obstacle to your productivity this week. 

  5. Copy a hack: Go through the list one by one and see if there is one tool that can also change your worklife.

Tools are not a silver bullet, but boy, they can help you a lot to create a bigger impact. 

Because: 

More output = Higher chance to succeed = Higher impact
